The Meadowbrook School of Weston, a pre-kindergarten through 8th grade school located in Weston, MA, seven miles west of Boston, is seeking an Auxiliary Programs and Accounting Coordinator to join our faculty. Meadowbrook is a mission-driven school and we invite candidates to familiarize themselves with our mission before applying for the position. It is a full-time, non-exempt position.
The Auxiliary Programs and Accounting Coordinator will work in support of all Auxiliary Programs at Meadowbrook and overall accounting functions in collaboration with the Director of Auxiliary Programs as well as the Business office. They will primarily work to support the accounting and payroll functions of Meadowbrook’s Summer Program, Branches at Meadowbrook, and the accounting functions of the auxiliary programs, including student transportation, facility rentals, after school and enrichment programs. This is a year-round position with peak periods in the summer. It is a collaborative position that functions as the bridge between two departments and will be part of a dynamic and growing auxiliary program operation.

Responsibilities:
- Manage all financial needs for Meadowbrook’s auxiliary programs, accounts payable, accounts receivable, rental invoicing, seasonal (summer) payroll & sick time accruals, and auxiliary programs employee onboarding; serve as back-up for other functions, when necessary;
- Support the Business Office with school accounts payable and accounts receivable processes;
- Maintain current working knowledge of accounting principles; ensure appropriate financial policies and internal controls are implemented and followed;
- Ensuring auxiliary programs’ compliance with all federal and state payroll and human resources laws and regulations;
- Work with the Controller to reconcile and review all auxiliary programs cash, credit, and checking accounts; review and reconcile general ledger accounts; complete journal entries as necessary. Share monthly P & L reports for all Auxiliary Programs with the Auxiliary Programs Director.
- Support all seasonal, third-party vendor, or part-time employee human resource functions including background checks, onboarding, and overseeing all auxiliary programs employee administration matters (including, but not limited to worker’s compensation, communication and paperwork related to terminations and leaves, etc.)
- Answer auxiliary programs seasonal employee inquiries regarding pay and resolve any payroll processing issues;
- Assist Director of Auxiliary Programs with acquisition of various seasonal permits, licensure, accreditation, etc in collaboration with additional members of the Auxiliary Programs department.
- Perform other duties as assigned by the Director of Auxiliary Programs or Controller.
