The Auxiliary Programs Manager is a 12-month, part-time position which will report to the Associate Director of Auxiliary Programs. This position is from 1:00 to 6:00 PM Monday through Friday, year-round, and is benefits-eligible.
Support for the Office of Auxiliary Programs will include our BFX after-school programs, our Camp Brooklyn summer programs, our BFS Music School, facility rentals, and additional new programming. This role is ideal for a collaborative and detail-oriented leader who is passionate about providing high-quality, enrichment opportunities aligned with our school’s mission and vision for students in Downtown Brooklyn.
Primary responsibilities include:
- Supervise Auxiliary Programs Colleagues using independent judgement to assign daily duties, set and adjust work schedules, and direct staff during program hours.
- Lead hiring for Auxiliary Programs Colleagues. Evaluate candidate submissions, screen and interview candidates, effectively recommend hiring, and oversee the onboarding and training of new Colleagues.
- Evaluate staff performance. Partner with the Associate Director to conduct evaluations, address performance and conduct issues, and issue or effectively recommend corrective action, including discipline and termination.
- Approve timesheets, overtime, substitute coverage, and evaluate time-off requests for all Auxiliary Program Colleagues.
- Manage the Auxiliary Programs budget. Set or effectively recommend program pricing, approve expenditures within delegated limits, update program financial models, and negotiate vendor agreements on the school's behalf in consultation with the Associate Director, in-house General Counsel, and the Chief Financial Officer.
- Oversee registration, billing, and customer service for all Auxiliary Programs. Resolve escalated family concerns and approve refunds, credits, and exceptions to program policies.
- Manage facility rentals from start to finish. Negotiate terms, prepare rental agreements, ensure compliance with documentation and insurance requirements, and approve or decline rental requests.
- Direct Auxiliary Programs logistics, including attendance and dismissal management, space scheduling, vendor partnerships, and arranging transportation when needed.
- Develop and implement program policies and procedures, and partner with the Associate Director to plan mission-aligned programming for after-school, evenings, weekends, summer, and school breaks.
Qualifications and Characteristics Sought:
- Bachelor’s degree required; advanced degree or certification in education administration or a related field preferred
- Minimum 3–5 years of experience in an educational or administrative setting, preferably in an independent school
- Demonstrated experience managing records
- Experience managing youth programs, camps, or enrichment activities.
- Strong project management skills and attention to detail
- Excellent written and verbal communication skills
- Ability to work collaboratively with diverse groups of students, families, colleagues, partners, and vendors
Physical Requirements of the Job:
- Must be able to work in an office environment including prolonged periods of sitting and standing.
- Must be able to lift and carry up to 25 lbs.
- Must be able to stand, bend over, twist and reach to access file cabinets, bookshelves and navigate office and workstation spaces.
- Must be able to ambulate through a classroom setting, including walking up stairs.
- Must be able to lift and carry small children up to 40lbs in the case of emergency.
